Board & Committees

Meeting Schedules

  • Annual schedules for Board and committee meetings are established to promote attendance and participation.
  • Formal agendas are prepared for meetings and working sessions to facilitate communication and efficiency
  • Management Reports and Action Lists record activities accomplished and to be done within a time frame

Directors and Chair

  • Training and education are available to owners interested in serving as a Board or committee member
  • Designated officer roles are clarified by job descriptions for each position so members can delineate functions and responsibilities
  • Recommendations are offered to the Board on Mandatory, ad hoc and standing committees required to service the Association
  • Support and information is supplied to the officers, directors and committee chair people to assist them in their duties

Agenda and Attachments

  • Timed agendas will include full financial reports, work orders, maintenance requests, committee reports correspondence, new and unfinished business
  • Attachments will include invoices, letters, contract proposals, supporting information, notices, articles and other relevant data
  • Board packets will be delivered to the Directors well in advance of the meeting

Documents and Records

  • Files are established, both actual and virtual, to develop the database history of the actions of the Board and accomplishments of the Association
  • Creations, maintenance and purging of files in compliance with Board direction and applicable rules
  • Records and copies of documents are available to owners at reasonable times and subject to the procedures set by the Board

Member Orientation

  • New member owners will receive an information packet to acquaint them with the Association and fundamental guidelines of conduct with the Board and management
  • Owners will be advised of changes in rules and regulations by written notices and special meetings held for communication purposes
  • Seminars and training sessions can be arranged for unique situations

Committee Assistance

  • Create committee to function at the discretion of the Board to assist the Association with specific activities and information
  • Supporting materials and experienced advise is provided to committee members to enable them to be productive
  • encourage membership on committee which often leads to qualified, dedicated leadership development

Community Events

  • Plan community events to foster communications among owners as well as a sense of participation
  • Publish an annual calendar of social and civic activities to enhance the lifestyle available to an Association's membership
  • Community events may involve charitable undertakings in concert with other organizations
  • Assist in the development & distribution of newsletters

Pet Regulations

  • Review Villages ordinances that pertain to household pets and apply to Association owners
  • Institute policies, procedures and disciplinary processed necessary to avoid ill-will between pet owners and those without pets
  • Recommend uniform enforcement of pet restrictions and reasonable amendments to policies to assure they are well received by all owners
